ARCTIC15 Pavilion Rules

Arcticstartup has been at the core of the Nordic and Baltic startup ecosystem since 2007, and we’ve been organizing ARCTIC15 since 2011 — making this our 14th live edition. Over the years, we’ve developed a set of structured rules to ensure consistency, quality, and fairness for all Pavilion partners and participants.

1. Booth Allocation & Minimum Floor Space

  • The Pavilion owner (e.g. university, incubator, accelerator, corporate) must have a minimum of 10m² allocated for their own space (partner booth, branding, reception area, etc.).
  • If multiple non-startup entities share the same pavilion, each must have their own 10m² floor space.
  • Booth distribution must be clearly defined in advance to avoid overcrowding and maintain event flow.

Example: Hosting 20 startup booths (10 per day rotation) =
10 × 4m² = 40m² for startups

  • 10m² for the main host = 50m² total minimum floor space

2. One Startup per Booth per Day

  • The pavilion owner should provide the full list of startup booths under the pavilion 2 weeks before the event, including the names of teams and the day they have the booth.
  • Each startup is assigned a full-day slot per booth, changing the exhibiting team during the day is not permitted under any circumstances.
  • The pavilion owner must submit a finalized list of all startup teams at least 2 weeks before the event.
    • The list must include:
      • Team names
      • Which day (Day 1 or Day 2) they are exhibiting

  • Any changes in the exhibiting team list must receive written approval from the ARCTIC15 team in advance.

Startups not on the approved list will not be permitted to exhibit at the event.

  • This ensures:
    • Professionalism in branding, materials, and investor interactions
    • Clear scheduling and logistics for attendees and booth staff
    • Consistency in visibility throughout the day

3. Ticketing Requirements per Startup Team

  • Every startup team with a booth must have a minimum of 2 full-access tickets.
  • This allows one team member to be in Deal Room meetings, while another remains at the booth throughout the day.
  • Teams with fewer than 2 tickets will not be permitted to operate a booth.
  • Tickets must be registered to individual names before the event.

4. Startup Ticket Eligibility Criteria

  • Startup tickets (eg. €349) are only available to registered startups with a valid Business ID.
  • Startup teams without a Business ID (e.g. early-stage or university projects) must:
    • Be part of a recognized Pavilion (hosted under a partner’s allocation), OR Purchase an Attendee Ticket (eg. €799) to access the event.

Teams without a Business ID cannot purchase a startup ticket independently.

5. Pavilion Naming Rights

  • Only one organization per pavilion may receive the official naming rights.
    • Example: “Microsoft AI Pavilion”, “Google Clouds Pavilion”, “Aalto Startup Center Pavilion”, “Tampere University Innovation Pavilion”,
  • If multiple projects and organizations are co-hosting, they must agree on a single naming entity for branding across the event.
  • Naming rights apply to the event floor plan, partner wall, website, and printed materials.

6. Included Infrastructure

Each Pavilion and startup booth includes:

  • Carpeted flooring
  • Electricity output
  • One bar table per startup booth
  • One bar table for the Pavilion host area

Additional infrastructure (e.g., screens, lounge setups, backdrops, signage) may be included through separate sponsorship or add-on packages.
